Authors: Selvanathan, V.E.
Issue Date: 23-Oct-2013
Abstract: World Vision Lanka (WVL) is a non-profit humanitarian Organization that implements programs under three sectors: health, education and economic development. Each sector is managed by a Program Coordinator (PC) who handles the budget and the program activities respective to their sector. The PCs submit the summary report to the Area Development Program (ADP) Manager and the Accountant, who submit the report to the Zonal Manager and the Accountant. The Accountant and the PCs are unable to submit the financial reports on time as they prepare it manually. The PCs face difficulties in tracking the budget as it takes time to prepare the monthly report. The Zonal Manager and the ADP Manager have to rely on PCs to view the progress because the data being not centralized. The Zonal Manager and the ADP Manager do not know the full details of each activity such as type of intervention, number of target, number of beneficiaries benefited from the programs, expense, location, etc. as it is kept in the PC level. As these details are not centralized, the ADP Manager and the Zonal Manager have no minute details of these programs. It stresses an importance of having a centralized system to upload all the details and give access to Managers to view all details of each activity. It is urgent to accomplish the entrusted task as earliest as possible as the time is of importance for this requirement. Once the task is completed, the follow ups are highly required. The objective of this project is to centralize all the details of each activity, and give access to each level authority to view the progress and all the details of each and every activity. Through the system the users are able to know the budget allocation for each activity, amount spent, remaining balance and so on. From this they can do monitoring, plan and evaluate the activities and increase the performance of the project.
