Title: Office Automation System for UNIVOTEC

Abstract: Office Automation System is a computer system designed to execute a variety of office operations such as word processing, accounting and e-mail. Office automation always almost implies a network of computers with a variety of available programmes. Office Automation system of the University of Vocational Technology is designed to digitally create, collect, store and relay information needed to accomplish basic functions of it’s programme office using easy to use and easy to understand features. The system will help in optimizing or automating existing office procedures of administering and coordinating academic programmes conducted by the university. The system was developed using structured system analysis and design methodology. According to that as the first task a study of the organization, its business and the business process was done. Based on the study the organization needs were identified. In the system analysis stage a software requirement specification is made. Based on the cost benefit analysis a suitable business system option was selected. Then the system was designed based on the facts and findings of gathered during the analysis stage. The designed system was developed using a content management system. Then a test plan was developed. The system was tested using several test cases and test data until it reaches the targets. Finally the implementation of the system was done. Using this system the organization will be able to computerize the activities performed by the universities programme office. The system is used to handle operations of Degree Programmes, Resources, Events, Contact Details and Vacancies. At the end of operations the system is capable to produce reports on the performed operations. The system opens up doors for efficient and effective ways of performing the activities of the UNIVOTEC programme office. With the development of this system the need of a computerized system for the UNIVOTEC programme office which has been a requirement for a long time has been full filled
