Title: Purchasing Management System for Richard Pieris & Company

Abstract: The scope of this project is to explore the current implementation of Purchasing Management System in Richard Peiris Company & PLC, commercial department. The requirement is to reorganize company present purchasing management procedure & improve its effective work flow to increase the productivity of employees align with latest technology application. They are not using any computerized system to manage present purchasing activities. They used to do their management activities on manual on papers works. Since all the processing is doing manually, it was time consuming. Various studies have shown that paper based purchasing records are far from a good solution especially when timely information require regarding a supplier’s on time delivery history. The objectives of the project is reducing manual efforts to maintaining the system, generate important reports on day wise, weekly and month wise or yearly, storing large amount of data for future perspectives, reducing process time, emphasis on accuracy data, assure security and validity of Data, as well as the project will be developed with friendly user interfaces that can be used by any user and fully automated, however human involvement is needed. To design the project it has planned to use JAVA programming language and Oracle Database platform and customize it according to fulfill user requirements and meet organization objectives. Purchasing system is a GUI Swing application consists of client side and a server side. Both application layer and user layer is on the client side. And the database layer is on one central server. This system provides the ability to manage complete Purchase Order cycles for all vendor transactions through reliable process. It replaces manual tasks with an automated Procurement system, allowing for more efficient use of employee administrative time. It helps to reduce overhead expense, and control repeat activities. Also controls the excess storage and flow of products located in multiple onsite. A user can coordinates and maintains require stock levels, provides for the ability to order, or reorder items based on projected usage and minimum stock levels (re-order points). 3 | P a g e Furthermore a computerized System provide a real time access to the employee’s to evaluate past records about order fulfillment, late deliveries, manage proper inventory to ensure customer satisfaction and other related records. It is very convenient for both staff and the suppliers to maintain proper relationship and business continuation to gain further benefits. Finally, increase the productivity of the company inter department in most effective and efficient way.
