Abstract: In UAE more than eighty present of the employees are expatriates. In the Oceanic International Shipping Company also most of the employees are from different countries around the world. As the HR department has to maintain a lot of documents of the employees such as their visa, Passports, Emirates IDs, Driving License, Tenancy contracts, Labour contracts, Medical Insurances and Air fare. Keeping a track of each and every individual employee s different documents is a difficult task for the HR department as the expiry dates are different and it is critical as the company has to follow government formalities. Furthermore the government is very strict on these Public Relations affairs. Maintaining those documents is a task that consumes a considerable amount of man hours with shared Excel spreadsheets. These spreadsheets should frequently update by the concern officers as there are many task owners for the same source data. Furthermore there could be many typographical errors which could be an extra cost for the company as penalties. Even though it is difficult to do manually, it is a responsibility of a company to maintain such documents. Therefore the company decided to develop a computerized system that can handle such critical issues by providing alerts on time and handle other HR tasks efficiently, so that the company will benefit by attending on-time for renewals, absconding statuses and cancellations. The proposed system may address the other HR activities like maintaining salary generation and transfers, welfare loans system and leave management efficiently and accurately. The project was implemented using Visual Studio 2010 and SQL server 2008. Coding was done using the VB.NET programming language and the .NET framework. Visual Studio s own reporting tool was used for report generation . At the end of the implementing phase, the system was properly tested and implemented at the client s site successfully fulfilling client s requirements.
