WEB BASED OFFICE MANAGEMENT SYSTEM FOR PROVINCIAL DIRECTORATE OF HEALTH SERVICES NORTHERN PROVINCE

Abstract

Provincial Directorate of Health Services, Northern Province (PDHS, NP) is one of the leading government service organizations and provides health care services to people in Northern Province. It has five administrative purview in all five districts in Northern Province. As this organization runs in manual system, it faces so many problems to serve quality services to people on time. Administrative, planning and financial activities are carried out manually. Personal files for 3,548 staff are maintained here as it is a head office. Staff of PDHS, NP struggle over work load to monitor tasks of staff, such as salary, leave, training, transfer, promotion and retirement. They also have to maintain case registers for each subject. They have to spend more valuable time to search files or records to get information. These records are also kept at the officer s working institution. Paper source is wasted for copying documents and forms. They need more storing facilities to keep files and records. In some cases a document is maintained under different subject files. As the system is manual, it causes for human errors in calculating data. Reaching information from head office to all staff and institutions is getting delayed or missing through manual activities. The proposed system has a centralized database to handle anywhere and anytime. Any staff of Health Sector, Northern Province can access this system by creating a user account. Others can view some information of Northern Health Sector. The system has been designed to fulfill the functional and non-functional requirements. This web based solution was developed using PHP server side scripting language and Apache as the web server. MySQL was used as the database management system. This developed system was thoroughly tested to guarantee a validated system. The Web Based Office Management System provides to PDHS, NP to run their routine processes easily and efficiently. They raise their service quality in order to manage staff details, monitoring various tasks of staff and institutions and generate various reports. Furthermore, the automated system is more flexible and cost effective to carry out their work on time.
