INVENTORY AND STOCK MANAGEMENT SYSTEM FOR VALI SOUTHWEST DIVISIONAL SECRETARIAT

Abstract

Vali Southwest Divisional Secretariat in Sandilipay is a Government administrative unit. There are nearly thirty staff doing various functions. Issuing birth, death certificates, dealing with motor vehicle taxes, issuing of permits to cut trees and many other administrative work is handled by this Secretariat. They are manually managing the day to day inventory and stock control activities. This system has numerous drawbacks and problems like difficulty in getting up to date information and delay in decision making. The web based Inventory and Stock Management System (ISMS) is built to overcome the problems and inefficiencies of the current manual file system. It is built in a way to cover the administration process of the office, such as purchase, issuing, stock management, supplier details and day to day activities. This system is providing access for four types of users Divisional Secretary, Storekeeper, Accountant, and Normal staff where they are provided functionalities depending on their role. Requirement analysis is made to find the requirements. Cognitive analysis is made to produce the website user-friendly interfaces. Based on the fact derived from the requirement analysis, the Inventory and Stock Management System will go for a design. In design section high level diagrams such as Use-case diagram, Entity relationship diagram and database design are elaborated. The system was developed using Windows XP or Windows 2000 Apache server PHP, HTML My SQL was used as the Database Management System. This combination ensures a high portability to the system developed. This developed system is thoroughly tested to guarantee a validated system. This dissertation illustrates all the work carried out during each phase of the project. Each chapter consists required a details in order to understand the project with the help of appropriate figures, tables and reports. The web based Inventory and Stock Management System (ISMS) makes a change in the official environment of Vali Southwest Divisional Secretariat by providing more efficient and effective system handling.
