On-line Staff and Student Management Information System for Ruwanpura National College of Education

Abstract

This document is based on the On-line Staff and Student Management System developed for Ruwanpura National College of Education. The main purpose of the system was to provide an automated and reliable on-line system to increase the efficiency of the college. Ruwanpura National College of Education is the main Information Communication Technology teacher training college in Sri Lanka which is located in Kahawatta. Within the premises of Ruwanpura National College of Education, most of these things such as maintaining staff and student information, managing leave, student and staff attendance, managing assignment marks etc are currently done manually and using common computer application packages like MS Word and MS Excel. It is difficult to handle the huge workload accurately and it wastes valuable time. Huge number of files, paper and various books are used to do these activities. Most of paper based documents are maintained in isolation and much time is wasted for the same set of documents as it is repeated more and more since there is no correct relationship among the documents and folders. Searching information such as details about specific student or lecturer, attendance details etc is difficult in a short period of time since a number of hard files or isolated electronic documents should be used to do this. The developed new system was scheduled to be implemented in order to overcome these problems. Through this system the college administration will be able to manage student and staff details, manage attendance, allocate lecture rooms / laboratories, assigning relief periods, manage student assignment marks, recording day?s academic works in the system, create necessary reports and use the Learning Management System of Ruwanpura National College of Education. The system can be accessed by different levels of users such as academic coordinator, lecturers, class in-charge lecturers, leave clerks, students and other administrative officers in the college. System maintains different user groups for different types of users and provides different passwords for them. The system has been developed as a web based client- server system by using a centralized database. Joomla, Moodle, PHP, Java Script, HTML, Cascading Style Sheet and MySQL database server technologies have been used to develop this system. Then it can be concluded that this project will uplift the quality of areas related to administration and academic works of Ruwanpura National College of Education.
