Online School Management System for Gonsalvez Maha Vidyalaya Pamunugama

Abstract

Gonsalvez Maha Vidyalaya Pamunugama, which was a mixed Roman Catholic school situated in Gampaha district with more than 1500 students and more than 50 members in the academic staff. All the day today management and administrative activities of the school were being done manually and the paper based system was being used to keep the records such as, students’ and teachers’ personal details, school achievements, students’ sports and examination marks, teachers’ and students’ attendance etc. As there were many activities happen in a school day and all these activities are being managed by few people, principal of the school including the staff members were in a mind to have a computerized system. Through computerising the system, tasks being done can be done more efficiently and effectively. It saves all the academic and non academic members’ time and therefore the saved time can be applied to upgrade and give their service to the student more and more. Importance of a web based system was highly accepted by the school principal including the staff members and parents as they can use the system anywhere anytime even staying at home. Then an online system for the school was proposed. Requirements were gathered and analyzed. Students’ and teachers’ records were designed to manage through the system, including the attendance, personal records, achievements, sports activities, relief assignment, report card generation, sending notices etc. To enhance the good name of the school General page was developed in such away that anyone can access. Administrator’s page was there which can be accessed by the administrator of the system and he/she can manage all the activities in the system. Principal page was accessed by the principal and deputy principal of the school and all the data can be viewed by this user. Teacher’s page was given for teachers and details of all the students except payments can be viewed by teachers including information of them. Update operation is allowed to use for subject teachers during the period given for entering marks. iii Student could access student’s page logging in to the system and they can view their details only. Same as them parents even can access the parent’s page and access their child details. Data entry operator could insert data related to some functions including specially students’ and teachers’ attendance and registration. Evaluation was carried out to get the feedback of the users through a questionare.It gave a positive feedback that most of tthem are saying that the system made their tasks easy and it fulfilled their requirements.
