Title: Cash Credit Management System (CCM) For TFI

Abstract: Tropical Fish International (Pvt) Ltd also known as TFISL is a company involved in the business of Exporting ornamental fish to USA, Canada and Mexico. They have their own Breeding Farms and local fish purchasing centers established in Sri Lanka. A weekly Petty cash of more than LKR 500,000 and local Fish Purchasing through Fish Suppliers on Credit of Approx LKR 1, 000, 000 takes Place. The Company s account s Department employs two full time accounts assistants for each Petty Cash and accounts Payee transactions that has to be, audited, Reconciled and Reimbursed / Issue checks at the very start of the following week. When the purchases are made all related Goods Received Notes (GRNs), Invoices, Petty Cash Vouchers (PCVs), are scanned and placed in a Common folder which is accessible to both farm staff and Head Office Accounts Staff. Cash/Credit Management System (CCM) was designed to overcome the Risks/Inefficiencies & Shortcomings involved in the manual system. CCM system divides three main sections. There are Transaction and Function section, Information section and Reference section. And also have Access control module and Auditors Reconciliation Module. The relevant officer notifying that a transaction is available for approval, as & when a user enters a transaction to the system and notifies other information relevant users through generating an email is a one of Critical function of the CCM. When entering a cash/credit transaction users are given the facility to upload scanned images of relevant PCV/Invoice/GRN to the system. And also relevant users have to view that document through access controlling. CCM system was developed Object Oriented architecture and also according to three tier architecture. Unified Modeling Language (UML) was used in the analysis and design stages of the project. Microsoft Visual Studio 2008 was used to implement the system in C# .NET language with using Microsoft SQL Server 2005 in the Windows environment.
